Asset check-out vault

Scan shared squadron equipment in and out and keep a history of who has each item.

The Asset Check-Out Vault is for shared squadron equipment. It records custody without requiring a pilot to search through the full hanger every time a case leaves the workshop.

Check an item out

  1. Open Fleet → Check-out or the Asset Check-Out Vault.
  2. Scan the item's QR code or barcode.
  3. Confirm the item and, if useful, add an expected return date.
  4. Select Check out to me.

If your browser cannot use its camera, enter the item's code manually. The vault also supports browsers without native barcode detection through its built-in scanner fallback.

Return an item

Scan or select the checked-out item and choose Check in when it comes back. The current status changes immediately, while the checkout history keeps the person, checkout time, expected return, and return time.

An item cannot be checked out twice or while it is unavailable for maintenance. The server makes that decision atomically, so two pilots cannot successfully claim the same item by saving at the same time.

Who can see what

Every squadron member can use the self-service flow for themselves. Squadron and district administrators can also review the fleet dashboard, add master items, edit item details, and see active or overdue checkouts.

The vault is intentionally squadron-only. School organizations issue equipment through the classroom roster, where an instructor assigns equipment to a student. That keeps one authoritative record of school custody instead of offering two competing workflows.
